This policy explains how Multicargo LLC (ТОВ «Мультикарго», registration code 41983713) ("Multicargo", "we") handles personal data collected through multicargoltd.com, including the contact form and the AI chat.
1. Who is responsible
Multicargo LLC (ТОВ «Мультикарго», registration code 41983713), 02002 Kyiv, Ukraine, Yevhena Sverstiuka St, 17. Contact for privacy matters: info@multicargoltd.com.
2. What data we collect
- Contact form: your name (optional), phone number or email, and the message you write.
- AI chat: the messages you type and, if you share it, your phone number or email. The conversation is saved so that a manager can see your request.
- Technical data and cookies: basic data such as IP address, browser type and pages visited, collected through cookies for analytics (Google Analytics 4 by Google and Microsoft Clarity by Microsoft). You can decline non-essential cookies in the cookie banner.
Cookies. Essential: your cookie choice and language setting (NEXT_LOCALE), stored in your browser, and, for clients, login cookies that appear only after you log in. Analytics cookies, only after you click Accept: Google Analytics 4 (_ga, _ga_*) and Microsoft Clarity (_clck, _clsk), which records how visitors use pages (clicks, scrolling, mouse movement) so we can improve the site; chat and form fields are masked. The website is not aimed at children under 16.
3. Why we use it
- To answer your request and prepare a quote (performance of a contract or steps at your request).
- To contact you about your shipment and keep a record of our communication (our legitimate interest).
- To improve the website and the chat (our legitimate interest) and, for analytics cookies, only with your consent.
Providing your details is voluntary, but without a phone number or email we cannot send you a quote. We do not sell your data and do not use it for automated decisions that affect your rights. The chat is run by artificial intelligence, not by a person, and only answers general questions; prices and terms are always confirmed by a manager.
4. Who receives it
We share data only with service providers that help us run the website and handle requests:
- HubSpot — CRM where leads and chat transcripts are stored.
- EmailJS and Google Workspace — delivery of request notifications and email.
- Vercel — website hosting.
- Anthropic — AI model that generates chat replies (your chat messages are sent to it).
Google (Google Analytics 4) and Microsoft (Clarity) receive technical usage data only for analytics. Microsoft Clarity runs only after you accept cookies. Until you choose, Google Analytics works in a restricted mode: it sets no cookies and receives only anonymous technical data (such as the page address and browser type), without persistent identifiers. Some providers are located outside your country, including outside the EU/EEA. In that case we rely on appropriate safeguards such as standard contractual clauses or the EU–US Data Privacy Framework. 5. How long we keep it
Leads without a deal: up to 24 months after the last contact. Customers: 3 years after the last deal, or longer if the law requires. Then the data is deleted or anonymised.
6. Your rights
You can ask us to access, correct, delete or export your data, to restrict or object to its processing, and to withdraw consent at any time. Write to info@multicargoltd.com; we reply within one month. If you are in the EU/EEA, you may also complain to your national data protection authority. If you are in Ukraine, you may contact the Ukrainian Parliament Commissioner for Human Rights. We process data in line with the Law of Ukraine “On Personal Data Protection” and, where it applies, the GDPR.
7. Security
We use access control, encrypted connections and trusted providers. No online system is fully risk-free, so please do not send sensitive documents through the chat or the form.
8. Changes
We may update this policy. The current version is always on this page with its date.
